STEPS:

1.   Click the Daily Tickler screen from the Client Information folder on the Site Plan.   View screen shot.
2.   Once a case is entered, the tickler system incorporated into ePITS automatically moves the case forward from beginning to end.  The heart of the ePITS system is the Daily Tickler, a timeline of prompts and actions known as ticklers, related to a personal injury case as it progresses through the system.  Ticklers can be thought of as reminders that can cause actions or follow-up tickler prompts.  ePITS has many built-in ticklers to track a case, but as you will see later, you can add your own ticklers to target your own particular timeline or needs.

The Daily Tickler lists all the queries and actions for each client.  Because they are date sensitive items, ticklers are listed in chronological order.  The Daily Tickler works in conjunction with the Daily Worksheet which is a printable version of the client ticklers for a particular attorney.

3.  There are 4 types of ticklers:
  • Anchor Date ticklers are associated with major events in the client's case history.   An example would be the date the client is released from treatment or the date the complaint is filed.  As the client's case evolves through the various phases such as negotiation, litigation, and settlement, the Daily Tickler will cause ticklers to be associated with these major events.
  • Recurring Event ticklers are known as Automated Tickler Events, or ATEs.  These ticklers are based on events that may occur repeatedly in a case history.  An example would be the gathering of information from multiple medical providers or the sending of interrogatories.  ATEs will automatically terminate their prompts with the input of certain information in the client data entry screens.
  • The Anchor-based and recurring event ticklers are itemized on the Tickler Action report.
  • The Condition Met tickler is a tickler that appears relating to the gathering of medical records.  Once all medical records requested have been checked off as received, a prompt appears on the Medical Provider screen requesting you to see if the case is ready for Settlement Demand.
  • Manual Ticklers are those set by you to have additional ticklers or queries appear on the Daily Tickler.  An example of this would be to call a client regarding medical treatment before the next scheduled reminder occurs on the Daily Tickler.

4.  Ticklers may be triggered in one of the following 3 ways:

  • Producing documents - by producing documents that request information, ticklers are put into the system for follow-up action at specified timed intervals.   For example, sending a letter requesting the defendant's insurance information causes a prompt to appear to check the receipt of the requested information.

  • Entering dates - when dates and date-related fields are filled in on certain screens, related ticklers appear on the Daily Tickler and Daily Worksheet.   Typical examples are entering the date a deposition or meditation was set.

  • Fulfilling conditions - as previously outlined, you are prompted to prepare a Settlement Demand once the condition that all medical records have been received is met.

5.   The collection of ticklers that appear in the Daily Tickler are the result of what needs to be done on that particular case.
6.  You have the option of viewing ticklers for a specific client or all clients.  View screen shot.
7.   When looking at the ticklers for a specific client, the Client Header screen appears with the basic client information.  The Client Header portion does not appear if you are looking at the ticklers for all clients.
8.  Next is the total number of ticklers for a specific client or all clients and the current tickler showing.   View screen shot.
9.  Use the Previous and Next navigation buttons to move between ticklers.  View screen shot.
10.Use the Select Date feature to view only those ticklers that occurred on or before the selected date.  View screen shot.
11. The Tickler Date is the first date the listed query or action prompt appears on the Daily Tickler and Daily Worksheet.  View screen shot.
12. The client's name and id are next followed by the Tickler Code. The Tickler Code refers to one of the major phases the case is passing through or a recurring event which causes the tickler to be set.  View screen shot.
13. Below the Client's Name and Tickler Code is the Query/Action to be answered or performed.  The Daily Tickler is the only screen from which you may trigger the performance of ticklers.  Answering Yes, No, or Not Applicable to the query/action causes the tickler to perform its action items.   Also, responding to the query and clicking the Do It button causes the tickler system to generate the required document or a prompt to take other action if applicable.   View screen shot.
14. Next to the Answer to Question/Action box is the Completed box.  Checking the Completed box stops its display on the Daily Tickler and Daily Worksheet. Ticklers are also removed from the Daily Tickler and Daily Worksheet when the items received boxes have been checked on the data screens. 15. To add a manual tickler, click the Add button, enter the tickler date in the Tickler Date field, and enter the prompt/query in the Notes section, then hit Save.  View screen shot.
16. The timing and content of the ticklers, as well as the actions automatically taken by the Daily Tickler, are easily customizable (See Tickler Action of Help Screen).
17. As you can see, the Daily Tickler is a powerful tool which interactively guides you through the gathering of necessary information, the production of documents and letters and the efficient processing of a case through its phases from beginning to end.
