STEPS:

1.   Click the Medical Providers screen from the Client Information folder on the Site Plan.   View screen shot.
2.   Before entering treatment information, a client must first be associated with a medical provider.   Since clients often use the same providers, ePITS keeps a general database of provider information called the Medical Provider Master.  Mailing and contact information for the provider are kept in this database so you will not have to retype it each time the provider is used.
3.   To match a provider to the client, click the Add New button.  View screen shot.

4.   To find a specific provider, enter the first letter or letters of the provider's name in the Provider Name field, and click the Search button.  View screen shot.

When you have found the desired provider, click once to select it, then click the Add Selected Provider button.

5.   Once a medical provider is entered for a client, ePITS automatically enters a check in the Records and Bills needed box.  View screen shot.
6.  Repeat this process to associate additional providers with the client.
7.  It is important that frequent contact or correspondence is maintained with the client so data can be updated on the appropriate provider screen.
8.  After a predetermined number of days, currently set to 30, a prompt appears on the Daily Tickler and Daily Worksheet asking if the Provider is still treating the client.  A new date must be entered in the Still Treating field to continue the prompts.  The prompt is based on the date entered in the Still Treating field.  If nothing is entered, then no prompt appears.  View screen shot.
9.  In talking or corresponding with a client or a Provider about treatments and prognosis, enter notes for the appropriate provider in the Diagnostic Treatment field.  View screen shot.
10.  If while talking to the client you notice that they are not going for treatment as often as necessary, you can send the CONTRMT letter to the client advising them to continue their treatment until released by the physician.
11.  After contacting or corresponding with the client, enter the date of contact in the Date Called field on the Client Header screen.  View screen shot.
12.  Each time the client is released from treatment with a specific provider, the medical records for that provider should be requested by sending the REQMED1 letter.
13.  At a pre-determined number of days, currently set to 20 days after sending the REQMED1 letter, ePITS places a query in the Daily Tickler asking if you've received all medical records from that specific provider.  Answering No to this query on the Daily Tickler causes ePITS to produce REQMED2, a second request for medical records.
14.  At a pre-determined number of days, currently set to 10 days after this second request is sent, ePITS will again ask if the requested documents have been received.  Responding No here, results in a prompt to call that provider.  After contacting  a provider, enter the date in the Date Called field.  This triggers prompts on the Daily Tickler and Daily Worksheet for you to call again 10 days later.
15.  As request documents are produced, ePITS automatically fills in the appropriate dates on the Medical Provider screens.  View screen shot.
16.  Also send the NARAREP1 document to all providers from whom a narrative report is needed.  Prompts are also initiated for this on the Daily Tickler and Daily Worksheet, and an entry is recorded in the Client Activity Log.  A second request for narrative reports will be sent and a prompt to call the provider will also appear as necessary until the Received boxes are checked.
17.  Once the client has been released from treatment from the last medical provider, enter that date in the Release Date field which automatically moves the case to the Demand In Progress phase.   Request the medical records for that provider as previously outlined.  View screen shot.
18.  Once the client has finished treatment with all providers, tickler prompts also appear for the sending of the WEKNOWOF document to the client to verify the identities of all medical providers.  This document includes a Medical Treatment Inventory and a list of all providers known to have treated the client.  Sending this letter initiates and records an entry in the Client Activity Log and causes follow-up prompts on the Daily Tickler and Daily Worksheet.  View screen shot.
19.  Once all records requested are marked off as received, a prompt asking if the case is ready for demand automatically appears on the Medical Provider screen whenever accessed.  You have the option to continue such prompts or to set a follow-up prompt to appear on the Daily Tickler.  View screen shot.
