STEPS:

1.  Click the Client screen from the Client Information folder on the Site Plan.   View screen shot.
2.  ePITS has a built-in system for tracking subrogations and liens.  Included in these entries will be any subrogation claims and liens that will be involved in the settlement, even if there is as yet no written notification of their claim.  The data here includes contact information for the subrogation or lien holder, claim number, amount of claim, type of claim, whether notice has been received from the claimant and whether an attorney fee letter has been sent to the claimant.  All information on this screen automatically transfers to the Settlement Wizard screen.   View screen shot.
3.  Ensure that the desired client is showing in the Client Information screen and click the Subro/Lien tab.  View screen shot.
4.  Click the Add New button to enter subrogation and lien details.   View screen shot.
5.  Using the Tab key on your keyboard to move between fields, enter the following information:
  • Enter a check in the Notice Recvd. box if you have received written notice of a subrogation or lien.
  • Check the Attorney Fee Letter Sent box if you have sent the SUBRO1A letter to the subrogee indicating receipt of subrogation claim and amount of attorney's fees.
  • Check whether this is a subrogation or lien.
  • If you have sent the SUBRO2A letter requesting an itemization of the claim, check the Itemized Stmt. Req. box. 
  • Once the itemization is received, check the Recvd. box.
  • If you have sent the SUBRO2B letter requesting signature confirming the amount of the claim, check the Payment Amount Confirmation box.
  • Once the confirmation is received, check the Rcvd. box.
  • Enter the amount of the claim.

6.   The payment amount automatically calculates and deducts the amount for attorney fees, if applicable.  The payment can be manually adjusted if the amount is not agreed to, or if the subrogee does not allow for a deduction of attorney fees.   View screen shot.

7.  Select the Type of Claim from the drop-down box next to the Type field.   View screen shot.
8.  Enter the following information about the subrogee/lien holder, again using your Tab key to move between the fields:
  • Name
  • Contact
  • Claim #
  • Address
  • City
  • State
  • Zip Code
  • Phone
  • Fax

9.  Repeat the above steps to add additional subrogations and liens.
10. Use the Previous and Next navigation buttons to move between the records.   View screen shot.
11. If this process continues, there are additional letters which can be sent to the subrogee/lien holder.   They include:
  • SUBRO1B - Requests reduction of a subrogation or lien from the holder.
  • SUBRO3A - A letter enclosing subrogation payment to the subrogee.
  • SUBRO3B - Requests a signature confirming the subrogation or lien amount when the insurance is not listed as the subrogee or lien holder.
  • SUBRO4B - Explains to the subrogee or lien holder the enclosed payment from settlement.
