STEPS:

1. Select the Defendant screen from the Client Information folder on the Site Plan.   View screen shot.
2.  Ensure that the desired client is showing in the Client Header screen and click the Insurance tab to activate it.  View screen shot.

3.   Click the Add New button.  View screen shot.

4.  Using the Tab key on your keyboard to move between the fields, enter the following information in the appropriate fields:
  • Company Name
  • Adjuster Name
  • Address
  • City
  • State
  • Zip Code
  • Phone
  • Fax
  • Claim #
  • Insured
  • Coverage Amount Per Person
  • Coverage Amount Per Accident
  • Med Pay Per Accident

5.  Send the INSREP1 letter to the defendant's insurance company for written acknowledgment of insurance coverage.    The sending of this letter sets the automatic tickler and makes an entry  in the Client Activity Log.
6.  If after a pre-determined time, currently set to 30 days, you have not received a response from the defendant's insurance company, you will be prompted by the Daily Tickler to send the INSREP2 letter again asking for written acknowledgment of insurance coverage.
7.  The date the INSREP1 and INSREP2 letters were sent is automatically entered in the Date Letter 1 Sent and Date Letter 2 Sent fields.   View screen shot.
8.  Use the Insurance Notes field to enter additional details about communication or interaction with the defendant's insurance company.   View screen shot.
9.  Until written confirmation of insurance coverage is received, the defendant will appear on the Questionable Insurance report.  View screen shot.
10.  Check the Insurance Acknowledgment box if there has been written communication acknowledging the defendant's insurance.  This removes the defendant from the Questionable Insurance report.   View sreen shot.
11.  Repeat these steps to enter additional insurance companies for the defendant.
12. Use the Previous and Next navigation buttons to move between records.    View screen shot.
13.  To delete a defendant's insurance record, ensure that the desired defendant insurance information is showing on the Defendant screen, and click the Delete button.  You will be prompted for a confirmation of your actions.   View screen shot.
