STEPS:

1. To begin entering case information for a new client, you must first be viewing an open case. An open case is one which is still active in ePITS.  View screen shot.
2.  Select the Client screen under the Client Information folder on the Site Plan.  View screen shot.

3.   From the Client screen, click the New Client button.  View screen shot.

4.  When the New Client window appears, enter the client's First, Middle and Last Name and click the down arrow next to the Attorney field to select the attorney who will be handling this case (this pulls from the Attorney Master list).   Once an attorney is selected, the client appears on each report for that attorney.   View screen shot.
5.  The fields you have just entered will now be populated on the Client Header screen.   View screen shot.
6.  Based on the information from your initial meeting with the client, enter the following items using the Tab key on your keyboard to move between the fields:
  • Date Case Opened - This sets ticklers for further follow-up contact with the client, verification of insurance, gathering evidence, etc.
  • Case Description
  • Accident Date
  • SOL Date - Entering a date in the SOL field sets the statute of limitations time limit.   After a pre-determined number of days, currently set to 230 days prior to the expiration of the statute of limitations a prompt will appear on the Daily Tickler and Daily Worksheet asking if we received the Complaint or Amended Complaint.  The expiration date also appears in the Statute of Limitations report.
  • The Attorney ID field will automatically be filled in based on the attorney selected on the New Client window.  It is important to have a value in this field as it is used to compile reports for individual attorneys in the office.  Further, cases not given an attorney, cannot be settled.
  • Enter the Home Phone and Work Phone.
  • Enter the File Identification number.

7. Once the case is in progress, you will be calling the client regarding their medical treatment.  After talking to the client, enter the date in the Date Called field.   View screen shot.
8.  The Case Phase should now be set to Pre-Negotiation.   View screen shot.
9.  Select the Personal tab and enter the following information:
  • Prefix (Mr., Mrs., etc.)
  • Suffix (Jr., II, etc.)
  • Date of Birth
  • Social Security Number
  • Address (Street address only in this field)
  • City
  • State
  • Zip Code
  • Sex
  • Full name of spouse

    10. In the Notes field, record information about the client such as whom to contact if the client cannot be reached directly.     View screen shot.
